A "State of Emergency" can be declared by Federal, State, and local officials, and can be weather related, the result of a natural or man-made disaster, or an anticipated threat to national security.
B L Seamon Corporation (BLS) is committed to ensuring the safety and well-being of its clients and guests while they are participating in events we manage. The information in this brochure is provided to help you understand the procedures for responding to an emergency.
Please review this information carefully and always use sound personal judgment to ensure your safety in an emergency situation.
EMERGENCY CONTACT INFORMATION
Please provide BLS with a method for contacting you in the event of postponement, cancellation, or other major changes regarding the conference, meeting, or other event. No later than 1 week before the scheduled event, please provide:
(1) Names and phone numbers of persons to contact on your behalf in the event of an emergency
(2) A phone line with voicemail that you will check before going to the airport (or other transportation source)
(3) Your cell phone number
GENERAL INSTRUCTIONS
In the case of a potential State of Emergency (national, State, local, along your travel route, or in the destination area), please take the following actions prior to departure:
- Listen to local or national radio and television news or weather bulletins. In case of a weather emergency, also visit the National Weather Service's Web site:
www.nws.noaa.gov
- Verify that your departure airport is open and that flights are leaving.
- Verify that the airport in your destination city is open and flights are arriving and landing.
- If airports are open, call the airline to determine whether your flight has been canceled. If your flight is canceled, contact Travel-On Travel Services AND call your BLS Travel Specialist.
- If you are unable to travel because of closures or restrictions, call the Marriott Hunt Valley Inn at (410) 785-7000, cancel your reservation for the night(s) that you will not be there, AND contact your BLS Travel Specialist.
BEFORE YOU LEAVE
- Call BLS at 1-800-676-8785 or visit the event Web site (http://www.Residency05) for information on the status of the event.
- Check ALL sources you provided to BLS as emergency contacts to find out whether there is a message for you.
- If there is no message regarding the event, you may assume it will be held as scheduled.
EN ROUTE
- If you have started traveling and your flight (or other transportation) is re-routed and you end up somewhere unplanned, the airline will most likely make lodging and meal arrangements for you. Call your BLS Travel Specialist, Alicia Corbin , to inform her of your circumstances and to learn how to handle any unforeseen expenses you incur. However, if you become stranded, call BLS for assistance.
- If you have started traveling and your flight (or other transportation) is returned to its point of origin, call BLS when you arrive home to inform us of your safety and to learn how to handle your expenses. If you are returned to your point of origin (airport or other), but cannot safely get to your home, call Alicia Corbin for instructions.
- If you followed all of the procedures described above, only to arrive at the hotel and learn that the event has been canceled, ask the hotel if there is a message for you. Or, if you arrive in the event city, but are unable to travel to the designated hotel (your route is inaccessible), call BLS to receive instructions.
DURING THE EVENT
If an emergency situation occurs during your scheduled event, BLS will instruct you on how to proceed.
ANY TIME
When power and telephone lines are down, BLS will do everything possible to contact you.
In the meantime, if you are unable to connect with anyone the first time you try, please continue trying to access BLS and Travel-On, the Web site, and the hotel until you make contact or hear from someone.
