REGISTRATION

What is being provided by the NHSC?

Travel (air, rail, or mileage for personally owned vehicles) to and from the meeting, including ground transportation as well as lodging (room and tax only) and meals, will be provided for approved Ambassadors who are located 50 miles or more from the conference site, with confirmed registrations. You will be reimbursed for ground transportation and meals after the conference. The cost of any Government-sponsored meals will be deducted from your meal and incidental expenses reimbursement.

Local Travel—If you are located within 50 miles of the conference site, the NHSC will cover the cost of ground transportation (parking, use of privately owned vehicle costs at 55 cents per mile, and tolls) only. You are responsible for all other expenses related to your travel to and from the conference as well as for meals not included in the conference schedule. No lodging will be paid for local participants traveling 50 miles or less to the conference.


ATTENDANCE

What day and time do I need to arrive?

Upon approval by the NHSC, you should arrive at the hotel by 12:00 p.m. on Thursday, June 18, 2009, unless you are a Youth Initiative Ambassador.

When is the conference over?

The conference is scheduled to end Saturday, June 20, after 5:00 p.m. All Ambassadors are expected to attend sessions through Saturday.

TRAVEL COSTS AND REIMBURSEMENT

What is included in travel costs?

Travel costs include air, rail, or mileage for your personally owned vehicle to and from the meeting, ground transportation, and lodging (room and tax only).

Are Ambassadors expected to pay for travel costs in advance and then be reimbursed?

Participants will be required to pay for their ground transportation (taxi or shuttle) in advance. These costs will be reimbursed after conference, up to a maximum dollar amount as specified in the confirmation materials.

Who will make travel reservations and how will they be paid?

Travel reservations for approved participants will be made through the B L Seamon (BLS) travel agency. Lodging (room and tax only) will be prepaid through BLS for the approved nights. Detailed information will be forwarded upon approval from the NHSC.

Why do I need my credit card information if the NHSC is paying for lodging?

A credit card to guarantee all reservations and to cover the costs for unauthorized cancellations or no-shows is required to make your reservation. In addition, your credit card is required at check-in to cover incidental room charges such as room service, phone calls, pay-per-view movies, etc. Your credit card will be charged only for unauthorized cancellations, no-shows, and incidental room charges. If you do not have a credit card to cover incidental room charges at check-in, a cash deposit of $50.00 per night will be required. This amount is fully refundable if no incidental room charges are incurred.
