Travel Information

If you are an approved Ambassador, please make your travel arrangements within 72 business hours of registering for the conference through our travel agency, Travel-On, Inc. at 888-495-7770 or 240-387-4188 between 8:30 a.m. and 5:00 p.m. (eastern time). When calling, please refer to the meeting name (NHSC Ambassador Training Conference) and project code #3282 to secure your travel arrangements. Please remember to make your travel arrangements within 72 business hours of registering for the conference but no later than Monday, June 8, 2009.

Your travel authorization will cover the most economical, round-trip, coach fare between the city listed as your address and Kansas City, MO, with arrival in Kansas City by 12:00 noon on Thursday, June 18, and departure from Kansas City International Airport after 7:00 p.m. on Saturday, June 20 (unless otherwise authorized). If you are a Youth Initiative Ambassador, you should plan to arrive no later than the evening of Wednesday, June 17, 2009.

Federal Travel Regulations require BLS to purchase the most economical airfare at the time of booking. In most cases, a nonrefundable ticket will be purchased for you. Therefore, it is important that you carefully consider your schedule when requesting travel reservations.

After your travel arrangements are confirmed, a copy of your itinerary will be forwarded to you by Travel-On for your written approval. Upon receipt, please review the itinerary carefully and reply in writing to have the ticket issued by fax or e-mail. Upon receipt of your written confirmation, a prepaid ticket will be issued. Any delay in response may result in a fare increase, so please reply immediately upon receipt of your itinerary.

The NHSC will not pay for any unauthorized changes to the existing ticket. The standard ticket change fee is $150.00 plus any fare differences.

ELECTRONIC TICKET (E-TICKET)
Your itinerary noting your confirmation number, seat assignment, if applicable, and other required information will be forwarded to you. Please be reminded that you must present photo identification upon check-in at the departure gate or at curbside check-in. After check-in, the airline will provide you with a printed boarding pass for your reserved seat.

TRAVEL BY AUTOMOBILE
If you are authorized to travel by automobile, you will be reimbursed at the Federal Government rate of 55 cents per mile, not to exceed the cost of air travel. The Federal Government does not authorize BLS to reimburse you for lodging or meals between your departure city and the conference site or for mileage not related to attending the conference. Please note that rental car expenses are not authorized and are not reimbursable by the NHSC.

GROUND TRANSPORTATION
The maximum allotted reimbursement amount for all ground transportation is $100.00, unless otherwise authorized.

SHUTTLE TRANSPORTATION
Shuttle transport from the Kansas City International Airport to the Hyatt Regency Crown Center Hotel is provided by SuperShuttleTM for $17.00 one-way and $29.00 round-trip per passenger if pre-booked and prepaid. Reservations are not required from Kansas City International Airport to the hotel; however, reservations (made 12–24 hours in advance) are required when traveling from the hotel to the airport. You may either call SuperShuttle Services at 800-258-3826 or visit them online at www.supershuttle.com for reservations.

TAXI SERVICE
Taxi service is also available to the Hyatt Regency Crown Center Hotel. The one-way rate from Kansas City International Airport is approximately $50.00. The rate from the hotel to the airport is a flat fee of $43.00.

For driving directions, please visit the Hyatt Regency Crown Center Hotel Web site at www.crowncenter.hyatt.com. Self-parking for our group is $14.50, and valet parking is $18.00 daily.
