FREQUENTLY ASKED QUESTIONS

Why is the NHSC holding this conference?

This conference is being held to (1) welcome Scholars into the placement/service cycle of their NHSC commitment, (2) provide orientation and training opportunities, (3) provide opportunities for NHSC Scholars to network, and (4) provide resources to help make service to the underserved a fulfilling experience.

What is the attire for the conference?

General conference attire is business casual.

Recruitment Fair attire is business casual.


REGISTRATION 

How do I know if I have completed my registration?

  1. Complete your online registration form.

  2. Complete the Recruiter Confirmation Form (separate from registration form) for each Site that you are representing.

  3. Check the NHSC Opportunities List for accuracy and to review your site profile to ensure the information is current.

  4. In addition to the confirmation e-mail you receive upon registration, B L Seamon will forward a formal confirmation e-mail approximately 2 weeks before the conference.


ATTENDANCE

What day and time do I need to arrive?

You should plan to arrive at the hotel no later than 11:00 a.m. on Friday, August 1.

When does the conference conclude?

The conference is scheduled to conclude at 5:00 p.m. on Saturday, August 2.

Who is invited to recruit at the conference? 

Representatives from the following entities that are interested in meeting and interviewing NHSC Scholars and are able to actively participate in two Recruitment Fairs:

  • NHSC-approved Sites with clinician vacancies that meet the 2009 discipline-specific Health Professional Shortage Area (HPSA) score

  • Primary Care Offices (PCOs) representing NHSC-approved Sites that have clinician vacancies and meet the 2009 discipline-specific HPSA score

  • Primary Care Associations (PCAs) representing NHSC-approved Sites that have clinician vacancies and meet the 2009 discipline-specific HPSA score

  • Indian Health Service (IHS), Bureau of Prisons (BOP), and Immigration and Customs Enforcement (ICE) Sites that have clinician vacancies and meet the 2009 discipline-specific HPSA score


TRAVEL INFORMATION

Who will make reservations and how will they be paid?

Travel reservations for recruiters should be handled directly through your travel agent. BLS will make lodging reservations upon receipt of your completed registration form.

Why do you need my credit card information if I am paying for lodging?

The credit card information is required only to guarantee your lodging and will hold your room for late arrival. For no-shows, a fee will be charged to the credit card by the hotel.

If I need to make a change to my hotel reservation, whom should I contact?

Up to July 28, participants are required to contact BLS immediately. Please do not contact the hotel directly. After July 28, contact the hotel directly.


RECRUITMENT FAIR

Why do I have to complete a Recruiter Confirmation Form in addition to my registration?

The information provided on the Recruiter Confirmation Form will be used to provide the Scholars with a list of Sites that will be attending and their respective clinician vacancies.

Will I be able to recruit throughout the entire conference?

Normal recruitment activities will be limited to the Recruitment Fairs. However, the opportunity to network with Scholars will be available during meals. No recruitment activities are to be conducted during mandatory sessions since Scholars must be present at those sessions.

Do I need to bring an exhibit? If so, are there designated spaces in which to exhibit? 

No, exhibits are not required. However, you should plan to bring any materials that will provide ample representation of your Site. Yes, there will be booths and exhibit space available.

What, if anything, will be provided to exhibitors (chairs, table, etc.)?

There will be at least a 6-foot table and 2 chairs. Exhibitors who require electricity should note this on the confirmation form.

I understand that my registration fee is waived.  Is that true for one attendee? 

This is true for one exhibitor who actively recruits at both fairs.

We plan to attend the entire Recruitment Fair portion of the conference.  When should we arrive, and when can we plan to leave?

The Recruitment Fairs will be held on Friday, August 1, from 3:30 p.m. to 5:30 p.m., and Saturday, August 2, from 3:00 p.m. to 4:30 p.m. Recruiters should plan to arrive no later than 11:00 a.m. Friday morning and depart any time Saturday after the last Recruitment Fair, which ends at 4:30 p.m.  Exhibit setup begins for recruiters at 11a.m. Friday. Teardown begins after the fair concludes Saturday at 4:30 p.m.
